Schedule around your business, not the mover
Most Toronto office moves are best done after hours or over a weekend, and many downtown buildings only allow commercial moves outside business hours anyway. Booking an evening or Saturday window means staff leave on Friday and come back to a working office on Monday.
Confirm both buildings' freight elevator hours, dock access and insurance requirements early — commercial buildings often have stricter documentation than residential ones.
Plan the floor before you plan the truck
- Produce a floor plan with every desk, room and storage area numbered.
- Label each workstation, chair, monitor and file cabinet with its destination number.
- Assign one internal coordinator per floor to answer questions on the day.
- Decide what is not moving and arrange disposal of old furniture and equipment separately.
IT and files
Back up everything before anything is unplugged, and photograph cable layouts behind desks and in the server area. Computers, monitors and peripherals should be packed per workstation so each person's setup arrives together.
Files and confidential records travel in sealed, labelled containers with a clear chain of custody, and go into the new space before general furniture so records are never left in an open hallway.
Reopening
Set up the essentials first: reception, workstations, meeting rooms with connectivity, kitchen. Everything else can be placed the following day. We reassemble desks and shelving, place items by your numbering, and remove all packing debris so the space is usable immediately.
